What we collect
We collect the information coaches provide to run their program: account details like your name and school email, roster entries such as athlete names and grade levels, and the meet and split data generated when you time a race.
Helpers who open a meet link do not create an account. We only record the checkpoint taps they contribute during a race.
On this website, the early-access form collects the email address you give, and the contact form collects your name, email address, topic and message. With a submission we store only a one-way keyed hash of the sender’s IP address, not the address itself. Our servers log the IP address and browser type of every request, for security and to keep the service running. Our monitoring provider keeps these logs for 14 days; the copy on our own servers is overwritten as newer logs arrive.
How we use it
Information is used to operate XC Splits — syncing the race clock across devices, calculating splits and personal records, and keeping your program history available season to season.
What you send through the website forms is stored and reviewed by our team: early-access sign-ups are used to tell you when XC Splits is ready, and contact messages to answer you.
We do not sell personal information, and we do not use athlete data for advertising.
Both website forms are checked by Cloudflare Turnstile to keep out spam. Cloudflare sees your browser and IP address under its own privacy policy.
Athlete information
Coaches are responsible for the roster data they enter. We treat athlete names and results as sensitive, restrict access to the athlete’s own program, and provide tools to correct or remove entries on request.
Data retention
Program data is retained for as long as your account is active so that season history stays intact. You can request deletion of a program and its associated data at any time.
We keep early-access sign-ups and contact messages for 24 months, then delete them automatically. To have yours deleted sooner, email privacy@xcsplits.com.
Security
Data is encrypted in transit and at rest, and access is limited to the coaches within a program. No system is perfectly secure, but we work to protect the information you trust us with.
